Position: Payroll Specialist

Reports to: Chief Financial Officer 

Role Impact Description:

The Payroll Specialist supports a broad range of functions including corporate payroll processing, tax and compliance reporting, benefits administration and recruiting. This role also provides back-up for union payroll functions. The Payroll & HR Specialist will liaison between employees both in and outside of the corporate office. This position requires a friendly, resilient attitude, superb communication skills, and a strong attention to detail.

Responsibilities:

  • Bi-weekly corporate payroll processing
  • Accurate and timely tax reporting to Federal and State agencies
  • Provide back-up for all union payroll responsibilities including payroll processing and monthly fringe benefit reporting
  • Employee offboarding, including processing terminations in vendor software, preparation of exit packets, and coordination of exit interviews
  • Maintains employee files and all HR-related records in accordance with recordkeeping and retention requirements.
  • Assists with employee benefits administration, including, coordinating open enrollment process, preparing communications, serving as a contact for employees, and resolving benefits-related questions and issues
  • Ensures that personnel updates and pay/benefit changes are completed timely and accurately in all systems
  • Answer employee questions and requests in a courteous and timely manner
  • Perform and assist with other tasks and duties as assigned

Education and Experience:

  • High School Diploma required; Bachelor’s Degree and/or related certification preferred
  • 2+ years of Payroll experience in a multi-state environment
  • 2+ years of HR experience

Desired Skills:

  • Proficient knowledge of Microsoft Word, Excel and Outlook is required
  • Strong verbal, written, analytical, and interpersonal skills, with the ability to communicate effectively at all levels of the organization
  • Demonstrated ability to take initiative and be self-motivated, be flexible and adaptable, and work in a fast-paced, deadline-driven environment
  • Must have the ability to handle and prioritize many projects simultaneously
  • Must be able to follow comply with regulatory requirements, policies, and procedures
  • Demonstrated analytical skills and the ability to perform detail-oriented work with a high degree of accuracy
  • Ability to recognize and define problems, recommend, and implement solutions
  • Demonstrated experience handling confidential information
  • Must be effective at working in a highly collaborative environment, act with integrity, and have demonstrated ability to gain trust and confidence of internal clients
  • Working knowledge of Spectrum software is an advantage
  • Able to work both independently with minimum supervision and in a team atmosphere
  • Organized and able to prioritize multiple tasks and successfully meet goals and deadlines
  • Demonstrated interpersonal skills, with the ability to effectively interact with customers, field staff, co-workers and vendors
  • Flexible and able to work with changing schedules, priorities, and responsibilities

Physical Demands:

Sitting, standing and bending; repetitive motions of hands and wrists due to frequent computer use; must be able to sit at a computer or workstation for extended periods

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus (either naturally or with correction)

Able to hear well in occasionally loud work environments (either naturally or with correction)

Must be capable of working extended hour days when job/business needs demand

Must be able to lift up to 50 pounds
